2. Scope

This policy explains how we handle personal data when you visit axentriq.co.uk, contact us, enquire about our services, or interact with us as a client, supplier or job applicant. It does not cover the personal data we process on behalf of our clients within their projects, where we act as a processor — see section 8.

3. Personal data we collect

• Enquiry and contact-form data: your name, work email address, company name and the content of your message.
• Client and supplier contacts: business contact details and correspondence needed to manage our commercial relationship.
• Website analytics: cookieless, aggregate usage statistics only (such as page views and referrers). We do not collect data that identifies you through analytics. See our Cookie Policy.
• Recruitment data (if applicable): your CV, contact details and any information you provide when applying for a role.

4. How we collect it

We collect personal data directly from you when you complete our contact form, email us, or engage us as a client or supplier. We also receive limited aggregate, non-identifying information automatically through our cookieless analytics, and we may collect business contact details from publicly available B2B sources.

Any marketing we send is business-to-business and conducted in line with the Privacy and Electronic Communications Regulations (PECR). You can opt out at any time using the unsubscribe link in our emails or by contacting hello@axentriq.co.uk. Opting out of marketing will not affect service-related communications.

7. Who we share data with

We share personal data only with trusted providers who help us operate, and we never sell your data. Recipients may include:

• our email and communications provider;
• our website hosting and CDN provider;
• Plausible Analytics (cookieless website analytics);
• our accountant and professional advisers.

We may also disclose data where required by law or to protect our legal rights.

8. Our role in client projects

When we deliver projects for clients, we typically act as a processor, handling personal data on the client's instructions and under a separate Data Processing Agreement (DPA). In those cases the client is the controller and their privacy notice governs that processing. This policy does not apply to personal data we process in that capacity.

9. International transfers

Where personal data is transferred outside the UK, we ensure an appropriate safeguard is in place — relying on UK adequacy regulations or the International Data Transfer Agreement (IDTA) / UK Addendum to the EU Standard Contractual Clauses. 10. Retention

We keep personal data only for as long as necessary for the purposes set out above. Our retention criteria include the nature of the relationship, ongoing service needs, and legal or regulatory requirements.

• Enquiries that do not become projects: up to 12 months from our last contact with you.
• Client and supplier records: for the duration of the relationship, plus 6 years after it ends (to reflect legal limitation periods).
• Financial and tax records: at least 6 years from the end of the relevant financial year, to meet HMRC requirements.
• Recruitment data: up to 6 months after the conclusion of the recruitment process, unless you consent to us holding it for longer.

When data is no longer needed, we securely delete or anonymise it.

11. Security

We maintain appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access — including access controls, encryption in transit, reputable hosting providers, and limiting access to those who need it. No method of transmission or storage is completely secure, but we take reasonable steps to safeguard your information.

Subject to certain conditions, you have the right to:

• be informed about how we use your data;
• access the personal data we hold about you;
• have inaccurate data rectified;
• have your data erased;
• restrict our processing of your data;
• data portability;
• object to processing, including direct marketing;

Our website and services are intended for a business-to-business audience and are not directed at children. We do not knowingly collect personal data from anyone under 18.
